As you make your preparations for your upcoming visit next week to STScI and/or participation in the Proposal Master Class Workshop, please note that the information below is important and useful.

MEETING LOCATION

The meeting will be held in the following areas of the Muller Building:

  • 2nd floor Bahcall Auditorium
  • 2nd floor café conference room
  • 4th floor Boardroom

PARKING

San Martin Center Parking Garage arrangements have been made for the workshop.


San Martin Garage Instructions:

Go straight to the San Martin Garagepick up a ticket from the machine and once inside, you make a left-hand turn.   Do NOT park in any space marked "CIW" or "Reserved for JHU”.  Any non-CIW permitted vehicle parked in a CIW or JHU space will be ticketed and may be towed by JHU.  For free parking, you will then need to exchange the ticket you retrieved from the machine at the garage for one provided from STScI front desk or a JWSTMO admin.  


ACCESS CARDS

Access cards are available from the front desk upon arrival at the institute for all Proposal Master Class Workshop participants by request.  Please be sure to return them to the front desk or to a JWSTMO admin. prior to your departure from STScI.

COURTESY HOTEL SHUTTLE SERVICE


For your convenience, STScI will provide courtesy, roundtrip, morning and evening shuttle service from the Doubletree Inn at the Colonnade Baltimore Hotel to the institute. This service is by request only from 7:30 - 8:20 AM and after the meeting adjourns for one hour.

The shuttle will pick up and drop off in the turnaround in front of STScI and the hotel.  The evening shuttle will begin departing from the institute five minutes after the meeting adjourns.

On Wednesday, November 20th, the last shuttle from STScI will depart at ~6:10 and pick up (any) workshop participants from the Colonnade Hotel at ~6:15 to travel to Gertrude’s for dinner.

HOTEL


Hotel confirmations were emailed directly by the hotel to all participants that requested rooms.  If you have not received your hotel confirmation, please contact me immediately.  You have the option to confirm your room prior to your arrival or prepare to do so upon check-in with a current and valid credit card. 

The Colonnade Baltimore Hotel’s address is 4 West University Parkway, Baltimore, MD 21218.  The telephone number is 410-235-5400.

STScI will be direct-billed for hotel room and taxes only November 17-21ONLYFor all other dates, please plan to pay this upon your check-out.

MEALS

Breakfast, lunch, mid-morning and afternoon snacks will be provided. A group dinner at Gertrude’s is planned for the Committee on Wednesday, November 20th.

Reminder:  Meals provided by STScI can’t be claimed on your Travel Expense Report (TER).

AIRPORT TRANSPORTATION

If you require transportation back to the airport or train station, please complete the "Transportation Request Form" which will be on the meeting supplies table inside the Boardroom.  The necessary taxi or sedan arrangements will be made by a JWSTMO admin. per your request.  Please arrive in the front lobby five minutes prior to your STScI or hotel departure time that you've listed on the form.  It's important to complete the form in its entirety and provide your contact information on the form to confirm your transfer and in case the driver needs to get in contact with you. Please also list your carrier and flight or train departure time.  The fare for a taxi and sedan is basically the same cost.  ALL of your transportation arrangements back to the airport or train station will be made for you.  Please do NOT organize this with the front reception/security desk to avoid confusion as this can easily happen.  Your arrangements will be confirmed and also communicated with the front desk.  We'll work together for your egress.
